Role Overview
Fraunhofer Portugal is now receiving applications from candidates interested in the position of Purchase and Procurement Assistant to support the organisation’s research centres and institutional corporate bodies.
The role consists in carrying out procurement activities and executing purchases for the organisation, as well as providing support, advice and guidance to colleagues on a wide range of procurement issues in line with Internal Procurement Procedures and regulations, including public procurement.

Key Responsibilities
The candidate will be responsible for:
- Purchase of goods, equipment and services, aligned with internal and applicable procedures, including:
- Conduct market consultation to obtain quotations.
- Assist with managing the administrative process throughout the duration of the preparation of all documentation until the award of the contract.
- Deliver the purchased materials to the responsible receiving person and do all actions for completing the process.
- Maintain appropriate records to ensure that the procurement process, decision and contractual agreements are accurately documented for the finance department, as well as for funding and audit purposes.
- Perform other duties related with the above responsibilities, as assigned by the supervisor.
- Book travel arrangements in accordance with internal procedures and legal requirements.
- Prepare and validate business allowances.
- Other administrative tasks such as validating credit and debit card statements, reports to the finance department.
- Prepare internal information for public procurement procedures in accordance with Public Procurement law.
- Maintain an updated record of all public procurement procedures.
- Ensure the processing and publication of acquisition procedures and the execution of contracts on the Public Contracts Portal (Base.Gov) and Diário da República.

Academic Qualifications
- Minimum Qualifications: Level 4 - national qualifications framework (12º or equivalent).
Experience and skills required
- Prior experience in the purchasing and public procurement sector/department or related role.
- Experience in electronic public procurement platforms, Public Contracts Portal (Base.Gov) and Diário da República is a plus.
- Good written and oral knowledge of the English Language.
- Advanced skills in Microsoft Office, especially Word, Outlook and Excel – Advanced Level).
