The Secretariat Service and Administration Officer is the first point of contact for stakeholders the staff and representatives in relation to Secretariat administration matters.
The role is responsible for maintaining high levels of service in relation to enquiries, as well as the accurate management of information relating to these interactions. In addition, this role supports the Secretariat Executive Assistant and Senior Administration Officer with administration tasks as required.
You will be responsible for:
- Customer Service - proactively managing phone and email queries from a range of stakeholders. Maintaining a high level of professional customer service and customer satisfaction.
- Resolving queries or referring customers to the right department aiming for a first call resolution
- Managing multiple inboxes
- Database Management - verify and update the Database/CRM and ensure contact information is relevant and accurate on a regular ongoing basis
- Update the database with Ministers course information
- Provide support for the Committees including preparation of agendas, minutes and action items
- Actioning items arising from the committee meetings as directed by the Senior Administration Officer and the Associate Secretary.
- Providing support to the to the Secretariat Executive Assistants and Senior Administration Officer as required
- Maintain register of Marriage Celebrants, ensuring reporting and data is current and accurate.
- Update the website to ensure all information is current
- Distribution of internal communications
- Running monthly reports and action as required
- Thought leadership - proactively recommend changes and improvements to the Secretariat Administration function relating to but not limited to customer service, database and directory management functions
- Proven experience in administration / customer service
- High level organisational and time management skills
- Familiarity with Microsoft Office 365; Intermediate computer literacy skills
- Willingness to learn new software packages and a positive, can-do attitude
- Proven capacity to build and grow partnerships and work collaboratively with other to meet organisational objectives and show ability through change
- Great oral and written communication and interpersonal skills including the confidence to approach and deal with sensitive issues and relationships
- Great problem solving and decision-making skills with the ability to research, monitor and synthesise information, identify risks and develop strategies to produce results
- The capacity to achieve challenging outcomes, successfully managing competing priorities with the ability to work under pressure and meet deadlines
